The Seattle Chinese Garden is searching for a new office coordinator. The office coordinator reports to the vice president for cultural events and ensures that the organization’s office operations, educational activities, and garden events are efficient, accurate and smooth. The position works closely with board members, garden employees and volunteers. Forty hours/week is required. Limited remote work is possible. Evening and weekend work during
events is required.
Duties and Responsibilities:
• Manage all mail, public inquiries, and routine correspondence in a prompt and professional manner.
• Maintain accurate and complete electronic and paper files of key documents.
• Under the direction of the fundraising manager, help maintain a donor database and compile different mailing lists for fundraising or event announcements.
• Update the garden website and social media account as needed
• Maintain office supplies, including adequate quantities of garden maps and self-guided tours, as well as keeping the office clean
• Print and mail thank you letters, membership renewals, and invitations under the supervision of the fundraising manager
• Assist in event planning and provide logistical support to garden events including the annual summer fundraising event, peony festival, kite festival, etc.
• Use DonorPerfect or Microsoft Office mail merge to send out emails for promoting garden events
• Arrange garden rentals with potential clients and coordinate with the renter and/or their event coordinator
• Coordinate docent tours with the tour coordinator
• Open and close the Garden gate on the days that you are on site, and the Grounds Manager is not on site
• Coordinate with the staff of the Astra Lumina Show on late afternoons assigned to work the Show
• Other duties as assigned by executive committee or the vice president for cultural events
Skills and Requirements:
• Microsoft office: Word including mail merge, Excel, Microsoft Publisher, and Canva graphics
• Language: Excellent oral and written English language skills; knowledge of Mandarin or Cantonese an asset
• Basic understanding of Chinese culture, customs, and practices
• Ability to lift and carry 25 lbs.
Interests and Passions — Interests in Chinese arts and culture and in gardens and horticulture strongly preferred.
Compensation and Benefits
• Employment status: full-time, non-exempt.
• Salary: $45,000-$50,000 annual salary, DOE.
• 10 days of vacation per year; up to 5 days of sick time per year; 9 paid holidays per year.
